Public Spaces

There are many cozy spots to read, study, and chat with a friend at the Library. Relax with the newest magazines and newspapers in the Peter J. Peters Reading Room, use a  collaborative computing monitor at a group study booth in the Community Computing Centre, talk about your favourite reads with friends in the Musto Lounge, or find space just for teens, kids, and families in the Youth Department.

NEW! Looking for somewhere to take a call? Have a virtual meeting you don’t want to join from home? The Library has five soundproof pods for phone calls and virtual meetings. The pods feature dimmable lights and adjustable fans and are equipped with 120V, USB, and USB-C outlets. They are first-come, first-served. Find a pod in the Community Computing Centre, West Wing, or Room 14 teen space. We gratefully acknowledge the financial support of the Province of British Columbia through the Ministry of Municipal Affairs for these furnishings.

New: Book a Study Pod!

Our meeting rooms are available for rent by individuals, community groups, and businesses for studying, exams, meetings, seminars, and small conferences. Looking to book the Recording Studio? Click here.

Welsh Hall

The Welsh Hall is our largest meeting space. Located on the lower floor, it is equipped with a built in high definition laser projector and sound system (on the west side), and kitchenette (on the east side). An assisted listening system is available upon request.

Welsh Hall West is a first choice for bookings involving presentations. It is equipped with a projector, sound system, Blu-ray player, and an assisted listening system. 

Welsh Hall East is ideal for board meetings, small groups, or tutoring. It is equipped with a kitchenette that may be used for preparing light refreshments (please see additional charges below). If your meeting involves a visual presentation, we can set up a screen if you indicate this in your booking. You will need to bring your own projector. 

If you book either Welsh Hall East or West you may experience sound bleed, if another group is using the other half of the hall. 

Tutors interested in booking space to deliver fee-based service may book either the Welsh Hall East or Welsh Hall West at the Educational rate.

Our newest meeting space, located on the Library’s main floor, is the perfect space for small meetings and is equipped with a collaborative audio visual display system. 

Bookings

Please ensure your booking time includes time for your event set up and take down.
Bookings are available from the time the Library opens until 30 minutes before closing time.

Renters cannot drop supplies or equipment off at the Library in advance of their booking.

We encourage you to book and pay online with your credit card. If you need assistance, feel free to contact us at 604.925.7405 and we will assist with your booking. Bookings may be made up to three months in advance. We accept credit card, debit, cash, or cheque payable to West Vancouver Memorial Library. 

When you submit your booking online, the system will estimate the charge based on the Business rate. A staff member will review your booking and may adjust the amount based on your booking form.

For booking requests 24 hours or less in advance, please contact us at 604.925.7405 for assistance and availability.

Theatre-style capacity: 100
Comfortably fits: approx 80
Classroom-style capacity: 50

Private / Non-Profit / Educational: $40 / hour
Business: $60 / hour
Minimum 2 hour rental

Welsh Hall West

Theatre-style capacity: 60
Comfortably fits: approx 40
Classroom-style capacity: 30

Private / Non-Profit / Educational: $30 / hour
Business: $50 / hour
Minimum 2 hour rental

Welsh Hall East

Theatre-style capacity: 40
Comfortably fits: approx 30
Classroom-style capacity: 20

Private / Non-Profit / Educational: $30 / hour
Business: $50 / hour
Minimum 2 hour rental

McDonald Creek Room

Capacity: 10

Private / Non-Profit / Educational: $25 / hour
Business: $30 / hour
Minimum 1 hour rental

Capacity limits include any presenters or facilitators.

Additional Charges

Renters who are charging for a service are to provide a Certificate of Insurance with evidence of not less than $2 million Commercial General Liability naming the Corporation of the District of West Vancouver as additional insured.

Food, beverage & catering 

Caffination, the Library’s cafe, serves freshly brewed coffees, teas, baked goods, and sandwiches. Please contact them directly if you would like them to cater your meeting.  A food and beverage fee of $20 will be added to your booking if you would like to bring in your own refreshments. This charge is waived if your food and beverages are purchased from Caffination.  

Booking Confirmation

Once you accept the West Vancouver Memorial Library Meeting Room Rentals Terms and Conditions of Use and request a booking online, you will receive an email from do-not reply@springshare.com confirming receipt of your request. We will get back to you within 48 hours to let you know if your request has been accepted.

Staff in the Community Computing Centre handle bookings and are happy to assist with the online booking process and answer your questions. Call us at 604.925.7405 or email us at meetings@westvanlibrary.ca.
